Policies, terms and privacy

Everything you need to know about booking, cancellations, payments, and how I handle your information — written plainly, without the legalese.

These policies exist to protect your time, my time, and the integrity of the experience I've built here. I keep this space calm, private, and running on schedule — and these guidelines are how that's made possible. If you ever have a question about anything here, just reach out directly. I'm always happy to talk through it.

Section 01

Booking Policy

How to book

All appointments are booked online through Fresha or by calling/texting (201) 846-7854 during studio hours. Walk-ins are not accepted.

Confirmation

Automated booking confirmation is sent via email and/or text at time of booking. Contact me immediately if anything looks incorrect.

Appointment reminders

Automated reminders are sent 48 and 24 hours before your appointment via Fresha. You are responsible for managing your schedule regardless of whether a reminder is received.

New client appointments

New clients are strongly encouraged to begin with a New Client Clinical Facial ($215, 75 min) or standalone New Client Consultation ($90, 30 min) before advanced treatments.

Important for advanced treatments: Chemical peels (Retinol, TCA, Jessner) and certain modalities require a prior skin assessment. Booking these as a first appointment without a prior consultation may result in your service being modified at the time of your visit.

Minors (under 18)

Clients under 18 must have a parent or legal guardian present for all first-time appointments. Guardian must sign intake and consent form. Ongoing appointments may proceed without guardian once consent is on file, at my discretion.

Section 02

Cancellation Policy

Because The Skin Tune is a private, one-on-one studio with limited daily availability, cancellations directly impact my schedule and the ability to serve other clients.

Cancellation notice required

Minimum 24 hours advance notice required for all cancellations or reschedules.

How to cancel

Rescheduling

May reschedule once at no charge with 24+ hours notice. Repeated rescheduling (3 or more times) may result in a deposit requirement for future bookings.

Illness & emergency exceptions

Legitimate illness-related cancellations will not be penalized. Contact me as early as possible.

Please do not come in if you are sick. Out of respect for other clients and for the private studio environment, I reserve the right to reschedule any client who arrives visibly ill without a late-cancellation fee.

Section 03

Late Arrival Policy

Appointments begin and end on time. Late arrivals shorten your service time — not the next client's.

Grace period

Up to 10 minutes may be available depending on the day's schedule. Call or text if running late.

Tip: The studio is located at 19 Spear Rd, Suite 206 — allow a few extra minutes to find the suite on your first visit. Free parking is available directly in front of the building.

Section 04

No-Show Policy

A no-show is missing your appointment without any prior notice. No-shows are charged 100% of the scheduled service price.

After a no-show

  • A no-show fee will be charged to the card on file or invoiced directly
  • Future appointments will require a deposit equal to 50% of the service price at the time of booking
  • Two or more no-shows may result in suspension of booking privileges

If something beyond your control prevented you from contacting me, please reach out as soon as possible and I will review on a case-by-case basis.

Section 05

Payment Policy

Accepted forms of payment

  • All major credit cards (Visa, Mastercard, Amex, Discover)
  • Debit cards with Visa or Mastercard logo
  • Apple Pay and Google Pay
  • The Skin Tune Gift Cards (purchased through Fresha)
  • Cash (exact amount preferred)

When payment is due

Payment is collected at the time of service upon checkout.

Deposits

Deposits may be required for:

  • New clients booking advanced treatments
  • Clients with a history of late cancellations or no-shows
  • Group bookings or event packages
  • Bridal and wedding day makeup appointments

Deposits are applied toward the service price. Non-refundable for same-day cancellations or no-shows.

Gratuity

Not expected or required, but appreciated. The kindest thing you can do is refer a friend and leave a Google review.

Packages & series

Prepaid series are non-transferable. May not be shared between clients. Unused sessions in a series do not expire within 12 months of purchase but cannot be refunded after 30 days.

Section 06

Refund Policy

Services

All completed treatments are non-refundable. If you have concerns about results, contact me within 5 days of your appointment. I will determine if a complimentary follow-up or adjustment is appropriate.

Results are gradual. Skincare is a process. One treatment will not fix a long-standing concern. If you feel your results are not meeting expectations, a conversation is always the right first step — not a chargeback.

Products

GlyMed Plus products may be exchanged within 14 days of purchase if:

  • The product is unopened and in original condition
  • You have experienced an allergic reaction or skin sensitivity (partial exchange considered for opened product)

Products cannot be returned after 14 days or if significantly used.

Gift cards

Non-refundable. Do not expire. May be used toward any service or retail product.

Prepaid series & packages

Refundable within 30 days of purchase for unused sessions, minus a 10% administrative fee. After 30 days, unused sessions may be credited toward other services but are not eligible for cash refund.

Section 07

Health & Safety

Intake form & informed consent

All new clients complete a health intake form and sign an informed consent agreement before any treatment. Existing clients notify me of any changes at the start of each appointment.

Medical contraindications

Please disclose:

  • Current or recent use of Accutane — minimum 6 months post-use required for most treatments
  • Blood-thinning medications
  • Active skin conditions (eczema, psoriasis, rosacea, open wounds)
  • Recent cosmetic procedures, injections, or laser treatments
  • History of keloid scarring
  • Autoimmune conditions affecting the skin
  • Active cold sores or herpes simplex around the treatment area
  • Pregnancy (see below)

Pregnancy

I accommodate pregnant clients with modifications. Chemical peels, advanced retinol applications, and some electrical modalities are not performed during pregnancy. Please notify me at booking.

Illness policy

Reschedule if you have:

  • Active fever or flu-like symptoms
  • COVID-19 positive test or known exposure within 5 days
  • Contagious skin conditions (impetigo, active cold sores, ringworm)
  • Conjunctivitis
  • Any illness where you would not want someone working closely near your face

Late cancellations due to illness will not be charged a fee.

Studio hygiene

All tools, surfaces, and linens are sanitized or replaced between every client. Disposable items used wherever possible. I follow all NJ State Board of Cosmetology guidelines.

Section 08

Right to Refuse Service

The Skin Tune reserves the right to refuse or discontinue service for:

  • A contraindication that makes the requested service unsafe
  • Incomplete or inaccurate health intake information
  • Disrespectful, threatening, or inappropriate behavior
  • Intoxication or impairment at the time of appointment
  • Failure to comply with health and safety policies
  • A pattern of no-shows, repeated last-minute cancellations, or chargebacks

Terms & Conditions

Service agreement

Kristen Hansen, operating as The Skin Tune LLC, provides professional esthetic services in accordance with New Jersey state licensing requirements. By booking, you confirm that you have disclosed all relevant health information and agree to receive the services as described.

Results disclaimer

Skincare results vary by individual. The Skin Tune does not guarantee specific outcomes. I will provide honest, realistic guidance — not promises.

Photography & social media

The Skin Tune may request permission to photograph or document treatment results for educational or marketing purposes.

  • Optional — you may decline at any time
  • Consent-based — a separate consent form is required
  • Identifiable photos will only be published with your explicit written consent

If you tag The Skin Tune on social media in publicly posted photos, you grant permission for those images to be reshared on The Skin Tune's social channels.

Chargebacks & disputes

Contact contact@theskintune.com before initiating a chargeback. Unjustified chargebacks may result in termination of the client relationship and referral to collections.

Limitation of liability

Liability is limited to the cost of the service rendered. The Skin Tune is not liable for adverse reactions due to undisclosed health information or failure to follow pre/post care instructions.

Changes to these terms

The Skin Tune reserves the right to update these terms at any time. Continued use of services constitutes acceptance of current terms.

Governing law

Governed by the laws of the State of New Jersey. Disputes subject to the jurisdiction of Bergen County, NJ.

Section 10

Privacy Policy

Your privacy matters. I do not sell your data. I do not spam you.

What information I collect

  • Booking information: name, email, phone, appointment history
  • Health intake information: medical history, medications, allergies, skin concerns — for safe treatment delivery only
  • Payment information: processed securely through Fresha's PCI-compliant system; The Skin Tune does not store raw card numbers
  • Email address: collected via newsletter sign-up, booking, or skin quiz — opt-in only
  • Website usage data: anonymous analytics via Google Analytics

How I use your information

  • To book, confirm, and manage appointments
  • To deliver safe treatments based on health information
  • To send appointment reminders, confirmations, and follow-up care instructions
  • To send marketing emails — only if opted in; unsubscribe anytime
  • To improve my services and website experience

Who I share your information with

I never sell your data. Service providers used:

  • Fresha — booking, scheduling, payments
  • Klaviyo — email marketing (opted-in subscribers only)
  • Google Analytics — anonymous website analytics
  • Bergen Computer Solutions — website hosting and development

Health records

Retained for minimum 3 years per professional esthetics practice standards. Stored securely. Never shared with third parties without your consent except as required by law.

Your rights

  • Request a copy of personal information I hold
  • Request correction of inaccurate information
  • Request deletion of personal information (subject to legal retention requirements)
  • Opt out of marketing communications at any time
  • Withdraw consent for photography or data use at any time

Data security

HTTPS encryption. Booking and payment data processed through Fresha's secure, PCI-compliant infrastructure.

Children's privacy

Does not knowingly collect information from children under 13 without verifiable parental consent. Teen client intake forms completed by parent or guardian.

Cookie Policy

Types of cookies I use

  • Essential cookies: Required for site function. Cannot be disabled.
  • Analytics cookies: Anonymous usage data via Google Analytics.
  • Marketing cookies: May be set by Klaviyo for opted-in email subscribers.
